EGM for Membership Fees
An EGM will be held on Wednesday 25th April at 7:45pm in the Five
Acres Leisure Centre bar/meeting area to set membership fees.
Plans for 25th Anniversary
Ann suggested charity drive (donations or collecting old kit) used
to promote sports and athletics. Further information is being gathered
Plans for a BBQ and Social Event on Friday 13th July at
Bechenhurst Lodge. The private events area and gas powered BBQ to be booked.
Event to start at 6pm
Club Mark
SW England Athletics have offered to help with Clubmark. We will take
up their offer
Club Newsletter
Debbie to print. People must submit news and results to her. Will
put in forthcoming events. Bi-Monthly. To be collected from hut and put
on the web site
Results Reports and Club Fixtures
List of fixtures needs to be sent to Brian so he can chase up results
and reports
Membership Secretary
Brid has made lots of progress with the membership list and will write
to known memebrs to remind them of their membership.

Wendy presented her report which included the new track fees.

Many thanks to all who helped with the Christmas race it was a great
success.
The 25th Anniversary is coming up and suggestions such as t-shirts,
kit and Barbeque were made. Bob asked people to try and think of any other
ideas for next time
England athletics are holding a meeting to do with the development
of Plock Court. Dave Lucas will be asked to go on our behalf.
Membership Secretary
There are lots of memberships still owing and Brid is struggling as
many of the Emails we have for members are out of date. The problem is
confounded by the fact that standing orders all arrive on different dates
throughout the year and not in September and that there seems to be a
wide range of membership prices. Brid, Carol and Wendy will try to meet
to sort things out.
Renewal letters have been done and are being sent out to those members
who have still not paid.

Lakers school is now charging £10 per week for use of the track
Ladies Captain
Wendy Lawrence raced in the half marathon at Disneyworld in Florida.
WE have had ladies representatives in the county championship. We have
teams for the cross country this weekend and the Midlands cross country
coming up.
Coaching Co-ordinator
Rachael Madley will be going on a child protection course.
Paul de Camps is running another training weekend at Merthyr Mawr
Saturday children’s group is doing well and is currently 3rd in the
indoor league.
Juniors did well at County Championships two gold, two silver and one
bronze medal being won.
AOB
Clare asked whether we should be getting permission for the use of
photos of youngsters on the website. We agreed that we should and Penny
Tucker will try and get a form.
Chris Hamersley asked Brid is anyone would be willing to marshall the
half marathon. Lisa will put a sign up in the hut.
Lights still not working in the hut Bob will pop up to Lakers to see
the caretaker Ken Creed
Chepstow harriers have a newsletter which seems like a good idea .
A bi-monthly newsletter was agreed upon and Debbie Pritchard was volunteered
(provided she agrees) to write it.

minutes November 29th
Apologies: Ann Nixon, Steve Thompson, Brid Ellingworth,
Brian Griffin, Steve Cunliffe, Debbie Pritchard, Penny Cartwright.
Christmas Race
36 Runners registered already. Marshalls so far – Clare Morgan,
Fiona Turner, Lynne and Bob Park, Louise Insall, Wendy Lawrence, Carol
Jones, Aileen Griffiths, Ann Nixon.
St John’s booked we will need to pay them £15 per
hour (minimum booking – 3hours)
Lynne Park will get bags of money for all finishers,
spot prozes and Prizes for first 5 men and women.
Trail Plus
Trail plus have requested male and female helpers to act as sweepers
on the long runs. Steve Cunliffe and Lynne Park will approach appropriate
runners, they will try and organise people so that all dates are covered.
Cannicross
Lisa has been approached by the local cannicross group to see
if we wanted to do a joint event, Lisa will get back in touch with them
and see what they want to do.
Treasurers Report
Wendy will check what we owe the gym but since the last meeting
we have received £100 from Trevor Kingdon for the use of the FODAC trail.
£360 has been spent on equipment requested by the
coaches. The auditor charged £100 for this years books and £165 for last
year. Affiliation to Gloucester league and Gwent league.

Website
Roger and Steve worked on the website. Some of the Password protected
bits such as how to join have been put into open access but addresses
and minutes will stay in the protected area. Pointers will be put on to
the website so that we can still use the FODAC email adresses’s which
will re-direct to the right person. Jenny was concerned that a lot of
money had been paid for the design of the website and that this was no
longer being used, however Roger agreed to work with the old layout but
make it more useable.
Comments about the website are welcome especially
to identify mistakes that haven’t been noticed.
Steve Thompson has set up a yahoo groups area for
the youngsters to use. They have to apply to Steve for permission to use
the groups.
Coaching co-ordinator
Clare raised concern that Paul De-camps had started a Monday group
without asking anyone if it was ok and was worried because numbers dropping
on other nights. Clare was concerned that whilst the group was a good
idea it seemed a bit like it was an exclusive club.
Bob replied by saying that if people want to make
new groups that was fine but appropriate procedure needed to be followed.
People need to talk to each other more face to face and the coaches need
to talk to each other before doing stuff. All new sessions need to be
passed by the committee. Bob also raised concern that there currently
seems to be an undercurrent of arguments which is ruining the atmosphere
of the club. Bob will arrange a meeting with the coaches.

Minutes of FODAC Meeting – Wednesday 11th
October 2006

Chairman
AGM to be held on 7th November at 8pm. Lisa has booked
Berry Hill Rugby Club and food. Price to be confirmed.
Election of Officers sheet put up in club hut
Lisa will do flyers and put advert in Forester and Review in the sports
pages
Idea for a coach’s report to complement the captain’s report
Christmas Race is on 17th December.

Map required for Forestry Commission for Denise. Martin knows the route.
Steve will assist. Entry form to be added to web site by Roger.
Entry forms need to be printed out to hand out at races. Lisa will add
link on Runners World Web Site
£6 entry, £8 unattached, Extra £1 for Entry on the Day. Venue booked
Brian will put it in the paper. Lynn will arrange first aid. Marshalls
will be sorted nearer the time. Entries to Ann Nixon
Track. No update. Need to wait for builders
to finish.
Dave Lucas is negotiating for extra light on outside. Bob will weed killer
the track

Report given. Finished 26th and 46th at Sutton
Park
Men's Captain Report
Fred doing Cardiff Marathon. Several doing Stroud Half Marathon. 8
runners in the Gloucester race.
Treasurer Report
End of year balance sheet submitted.
Problem with track fees and kit money being mixed up in the hut. Idea
proposed to request a note with payment to identify what money is what.
Discussion on lighting of track continued.
Wendy reported on change to Midlands Athletics Club fees being reduced
from £3 to £1.50
FODAC is listed as South West Club on Midland Web Site. Bob to investigate.
Event Discipline Form for MCAA discussed

FLM entries for club due back in 2 weeks time.
Other Business
Roger Hardiman volunteered as Web Master. All were in agreement.
Brian and Sarah will organise the Junior Presentation
at Cinderford RFC on Fri 17th November
Forest Hills Posters have been put up in the hut
Brian used to organise the Pied Piper run however
this time he is thinking of doing a Forest Trails 10k. The idea was discussed.
Steve discussed the Marathon Training Camp and asked
if FODAC wanted to take a more active role.

Present Bob Park, Lynne Park, Jenny Hanger, Clare Morgan,
Alan Jones, Carol Jones, Steve Cunliffe, Lisa Hardiman, Wendy Lawrence
Chairman :- Bob apologised for not being at club much at the
moment but due to work commitments it is very difficult at the moment.
The Christmas tree meeting was discussed and it was decided
that Steve Cunliffe and Bob Park will work out the route the event is
going to take and Lynne Park will write to Forest Enterprise for permission
for the race. Lisa Hardiman confirmed that Ellwood football club has
been booked for the event.
Carol Jones (Ladies Captain) :- Carol suggested that the club
attends the 4 stage relay in Lytham during October and suggested that
it could be made into a club weekend.
This was considered a good idea and Carol will let us know if it is
possible.
Carol also pointed at that the Pied piper race did not have any official
results this year which means it cannot be used as a club championship
race. Lisa Hardiman therefore agreed to find an alternative. (This has
been decided as the Upton Bishop Big Dipper).
Clare Morgan (Coach):- Clare reported that her Saturday morning
children’s group had taken part in the sport relief mile and thanked
Wendy Lawrence for taking the photos and Carol Jones for timing the
children.
Clare also informed the committee that Steve Thompson, Steve Harris
and Mandy have now qualified as level 1 coaches.
Steve Cunliffe (Men’s Captain):- The issue of which league
the club will be racing in during the cross country season. The committee
felt that the Gloucester League would be more convenient and may encourage
more club members to take part. It was decided that the matter should
be mentioned at the next coaches meeting.
Wendy Lawrence (Treasurer):- Wendy presented the club finance
report (please ask Wendy for details). She also stated that due to the
popularity of the club fleeces more have been bought.
Lynne Park :- Lynne raised the question as to whether the
club does have / should have club vests. The committee decided that
as vests that are loaned become second hand and cannot then be sold
then the club could not loan vests. It was suggested however that old
/ out grown vests could be placed in a box in the club hut for people
to borrow ( they will need to be washed before they are returned).
Alan Jones:- Alan raised the point that races are taking place
on the mallards pike track without permission being asked and with no
return to the club. It was unclear whether the races had permission
and had race permits. It was therefore decided that the races would
be removed from the club website as the races are no actually anything
to do with the club and it was thought that if the races were on the
website then the general public may think that they are club races.
The meeting concluded at 8.39pm. It was agreed that there was not much
point having a meeting in August as most people were going to be away.
The next meeting will therefore take place on September 15th.
